Choose a consistent request point
Agree when the service is complete enough to request feedback, who sends the request and which approved message they use. Apply the same process consistently rather than selecting only customers expected to leave favourable feedback.
Lead routing and exception handling
Inspect validation, duplicate checks, destinations and exception handling.
Prepare a response approach
Thank customers in plain language and address the experience they describe. When a complaint requires account details, move the resolution to a suitable private channel. Avoid publishing personal information or arguing over facts that have not been checked.
Learn from recurring themes
Group feedback by operational issue, such as scheduling, communication or service expectations. Assign recurring problems to someone who can fix them. Reporting review counts without reviewing the service behind them misses the most useful part of the process.
Put the guidance to work
Capture your starting point, assign an owner to the next action, and decide what evidence will confirm that it worked.
