Field notes / practical guide

SaaS integration requirements checklist

An integration requirement should describe the business event, the data contract and what happens when delivery fails. Naming two tools is not a complete specification.

Define the exchange

Record the source event, destination action, required fields and record identifiers. Explain which system is authoritative for each field. Document expected volumes and timing without assuming all systems update instantly.

Put it in context

Lead routing and exception handling

Inspect validation, duplicate checks, destinations and exception handling.

Plan failure handling

Decide how duplicates, retries, missing fields and rejected records should be handled. Give unresolved exceptions an owner and a visible queue. Ensure a retry cannot silently create a second customer-facing action.

Verify the contract

Test representative successful and failing cases with safe test records. Record permissions, secrets management and change ownership. Provide a runbook so future staff can distinguish a data issue from an integration defect.

Put the guidance to work

Capture your starting point, assign an owner to the next action, and decide what evidence will confirm that it worked.
